President – Amy Polen-Horn
The roles and responsibilities of PTA President include, but are not limited to: adhering to the bylaws of the association; active involvement in the appointing of Committee Chairs and standing committees (according to the bylaws); consulting with school Principal on all matters related to the school; overseeing the PTA organization, as a whole; setting and achieving PTA goals and objectives; encouraging school staff and parent membership in the PTA, in particular, organizing membership drives and member initiatives and incentives, promoting parent awareness, collecting and recording all Membership envelopes and dues as they are submitted, and submitting membership information to the State and National PTA by the designated time; supporting school initiatives and academic programs; gathering updates from and overseeing Chairpersons for the following PTA Programs: Reflections, Odyssey of the Mind, LEAP, MSAAC, SEAC, and After-School Enrichment; overseeing the PTA financial budget along with the PTA Treasurer; creating an environment of mutual respect in which everyone feels free to participate fully in discussing issues and decisions; presiding at all meetings of the General Membership and the Executive Board; and completing all required reports and forms for the State and National PTA offices by the designated deadlines.
VPs of Events – Bridget Turner & Lan-Ping Yu
The roles and responsibilities of the VP of Events include, but are not limited to: working with the Executive Board to establish annual goals and event objectives; managing Event Chairpersons, events, and programs to ensure event volunteer coverage, supplies, and general event planning; surveying volunteers to determine their skills and areas of interest; ensuring that the Event Chairs stay within the projected PTA budget; providing information and communication to the VP of Communications on all programs and events; and attending and presenting the Events Report to all meetings of the general membership and the Executive Committee. The projected events for the 2014-2015 school year include: Teacher Appreciation Week, Back to School, Basket Bingo, Pancake Breakfast, and additional events as determined by the Board during future planning.
VP of Fundraising – Hillary Collins
The roles and responsibilities of the Fundraising VP include, but are not limited to: working with the Executive Committee to establish annual goals and fundraising objectives; organizing fundraising events to support the general PTA budgetary needs and programs; overseeing special fundraising needs; managing Chairpersons and Committees for fundraisers; and attending and presenting the Fundraising Report at all meetings of the general membership and the Executive Board. Proposed fundraisers for the 2014-2015 school year include: Fall Fun Run, Spring Fundraiser, Spirit Wear, and additional fundraisers as determined by the Board during future planning.
VP of Communications – Maureen Thaivalappil
The roles and responsibilities of the VP of Communications include, but are not limited to: maintaining all PTA correspondence, including communications with PTA members, notifications for all meetings, working with PTA Board and Committee to write weekly Connect-Ed (Sunday e*Blast), and working in conjunction with the President to maintain information on the Arcola PTA website (including uploading information, forms, and surveys and making changes as needed) and maintain the Arcola PTA Facebook Page, sending weekly Thursday e*Folder, providing general Public Relations (including notifcations to parents about Loudoun County Meetings), providing publicity communications for the PTA, promoting the school within the community via “Etched in Stone Newsletter,” and attending and presenting the Communications report to PTA meetings of the general membership and the Executive Committee.
VP of Volunteers - Vacant
Treasurer – Suzanne Lyles
The roles and responsibilities of Treasurer run beyond the term of the school year and include, but are not limited to: ensuring that the PTA’s financial records are reviewed according to the bylaws, before assuming duties; having three authorized signatures on file at the bank for financial transactions (including those of the President, Treasurer and one other officer of the Exec. Board as an alternate - no two check signers should be from the same household); obtaining two authorized signatures on every check; collecting all money from persons delegated to collect or to raise funds during a local unit activity and providing written receipt for those funds; depositing all money in the name of the local unit in a bank account approved by the Board; maintaining an accurate record of all receipts and disbursements; obtaining authorization from the Board before writing a check or spending money; remitting, by check, all authorized bills and statements as prescribed in the bylaws; reporting income and expenses as compared with budget; preparing an annual report to be used to review PTA financial records, preparing and submitting accurate tax records; and attending and submitting a written Financial Budget Report at each Board meeting and at each general membership meeting.
Secretary – Brooke Skyrme
The roles and responsibilities of the Secretary include, but are not limited to: attending all meetings of the general membership and the Executive Committee and taking minutes of these meetings, with special attention given to motions (recorded exactly as stated) and actions taken; keeping secure official, permanent PTA records, including all originals of approved minutes; maintaining a copy of the current bylaws, standing rules, and a membership list; and coordinating refreshments for the General PTA meetings.
