Update on Graduation Plans, Learning Guides, Language Assistance and Refunds, April 13, 2020

    Dear LCPS Families and Staff Members: 

    Loudoun County Public Schools continues to refine our plans for the continuity of education of all LCPS students, community care and meeting the evolving needs of students, families and staff members. Following is the latest information on these and other topics. 

    Important News About Graduation Plans Sent to Seniors
    I sent a letter to each LCPS senior today with some important news: Each LCPS high school with a graduating class will hold an in-person graduation ceremony, when it is safe to do so. We do not know yet when the ceremonies will be held, but each high school with a graduating class WILL hold a graduation ceremony. You have our word. Rather than announcing new dates for graduation ceremonies now, we want to wait for better information regarding when it will be safe to hold the celebrations. We recognize that sufficient notice will help people plan to attend. As an initial step, not as a substitute, each high school with a graduating class will hold a virtual celebration of the Class of ‘20 in June. Each virtual celebration will be an opportunity for class unity and connection even as we look forward to face-to-face celebrations. Principals will engage students in planning these virtual celebrations. Additional details are included in the attached letter that I emailed directly to seniors. 

    Learning Guide Mailings Begin Soon
    LCPS will begin mailing learning guides as part of its Continuity of Education Plan to specific groups of students within the next few days. The first mailing is expected to arrive in homes by April 20.  Students who will receive learning guides include:

    • Grades K-2 (may opt out of future mailings);
    • Preschool;
    • Early Childhood Special Education (ECSE);
    • K-2 English Learners; and
    • K-2 Adapted Curriculum.

    The first mailing will be delivered to approximately 19,000 families with children in these groups. Many families have computers and internet access in their homes, making it possible for them to download the learning guides from the school division’s Continuity of Education website. Parents in K-2 may ‘opt out’ of continued mailings and use their own technology at home. As a way to conserve resources and expense, LCPS invites families with technology access to consider opting out of the mailings by completing this online form. 

    Language Assistance Services
    LCPS Language Assistance Services supports families who need oral interpretation or written translation services to engage in their students’ education at the central office and in schools. Interpretation services are available through the LCPS COVID-19 hotline, for school-based interpretation and for translation of community messages and documents. 

    School-based interpretation involves parent-teacher conferences, Child Study meetings, Special Education eligibility meetings, IEP meetings, Section 504 student eligibility meetings, 504 Plan meetings, as well as screening and assessment services through LCPS Child Find Center. 

    Language services are available in Arabic, Dari, Farsi, Hindi, Korean, Kurdish (Sorani), Pashto, Persian, Portuguese, Punjabi, Spanish, Twi, and Vietnamese. To request support from the Language Assistance Services group, parents and guardians should contact Sarah Rosin with Language Assistance Services sarah.rosin@lcps.org.

    Additional Information about Fee Refunds: Many families and organizations are expecting refunds of fees paid for school activities and events before schools closed, such as spring athletic fees, student parking fees, student behind the wheel fees, and field trips. There is no need for families to contact schools for these refunds; school Financial Technicians/ Bookkeepers and the Department of Business and Financial Services will automatically issue refunds for those types of fees. If you have other, specific questions about refunds, please contact your child’s school Financial Technician/Bookkeeper. Information about requesting refunds for student meals and facility rentals is attached.
